This Privacy Policy explains how Location Pro (“we”, “us”) collects and uses personal data when you use our website and production tools. We are committed to handling your information transparently and in line with applicable data protection law, including the GDPR where it applies.
1. Who is responsible for your data?

2. What data we collect
When you create an account or use Location Pro, we may process:
- Account data: email address, password (stored as a secure hash, never in plain text).
- Subscription & trial data: trial start/end dates, plan status, and related billing identifiers if you subscribe (e.g. Stripe customer ID when payments are enabled).
- Session data: technical identifiers needed to keep you signed in (see our Cookie Policy).
- Technical logs: basic server logs (e.g. IP address, browser type, timestamps) for security and troubleshooting.
3. What we do not collect or store on our servers
Your production work — location lists, recce schedules, contracts, timesheets, uploaded templates, photos, and exports — is processed in your browser and stays on your device unless you explicitly save or export files locally. We do not upload that content to our servers in the current version of the service.
4. Why we use your data
- To provide access to the tools and manage your account.
- To enforce the free trial and subscription terms.
- To communicate with you about the service (e.g. support, important notices).
- To process payments when you choose a paid plan (via our payment provider).
- To maintain security and prevent abuse.
5. Legal basis (GDPR)
- Contract: processing necessary to provide the service you signed up for.
- Legitimate interests: security, fraud prevention, and improving the service.
- Consent: where required for non-essential cookies or marketing (if introduced later).
- Legal obligation: where we must retain data for tax or accounting purposes.
6. How long we keep data
We retain account data while your account is active and for a reasonable period afterwards if you delete your account or your trial/subscription ends, unless a longer period is required by law. Server logs are kept for a limited time for security purposes.
7. Who we share data with
We do not sell your personal data. We may share data with:
- Hosting provider (Hostinger) — to run the website and application.
- Payment processor (Stripe, when enabled) — to handle subscriptions. Stripe processes payment data under its own privacy policy.
- Authorities — only when required by law.
8. International transfers
Our hosting and service providers may process data outside the European Economic Area. Where this occurs, we rely on appropriate safeguards (such as standard contractual clauses) as required by law.
9. Your rights

10. Security
We use HTTPS, hashed passwords, and httpOnly session cookies. No method of transmission over the internet is 100% secure; we work to protect your account data with reasonable technical and organisational measures.
11. Children
Location Pro is intended for professional use in film and TV production. The service is not directed at children under 16, and we do not knowingly collect their data.
12. Changes
We may update this policy from time to time. The “Last updated” date at the top will change when we do. Continued use of the service after changes constitutes acceptance of the updated policy where permitted by law.
